Associate Director, Loans and Exhibitions

The department of collections and loans (C+L) oversees the management of the collection and loaned objects, defining the processes that ensure compliance with the museum’s collection and loan policies as well as legal obligations to borrowers, lenders, donors, and/or sellers.

In four distinct areas, C+L implements policies that govern the day to day application of museum best practices regarding documentation and record keeping; collection database and metadata management; logistics and shipping; art handling and packing; storage; insurance; and, risk

What You Will Do:

  • Coordinates all registration aspects of exhibitions. Assists Director, Loans with implementation of new and revised procedures.

  • Negotiates loan stipulations according to the needs of the exhibitions and the museum.

  • Creates and reforecasts exhibition budgets. Reconciles invoices.

  • Schedules and coordinates logistics-handling, packing and shipping. Proposes improvements to existing practices to achieve best care of loans and efficiency on logistics issues.

  • Assesses and manages insurance needs and advises on risk management of loans.

  • Manages exhibition database and issues reports on exhibitions statistics to support departmental goals.

  • Works and archives exhibition documentation in digital platforms ensuring the sharing of the information and the safekeeping of exhibition records.

  • Establishes and nurtures strong working relationships with museum staff, colleagues from other institutions, consultants and vendors.

What You Will Bring:

  • 3 to 5 years of experience in museum, exhibition management or relevant field.

  • Proven knowledge of domestic, international and traveling exhibitions procedures, fine arts insurance, shipping and database management. Familiarity with time-based-media objects preferred.

  • Comfort with digital platforms and data-driven decision making to implement changes and growth.

  • Exceptional organizational skills, good judgment and professional initiative.

  • Excellent interpersonal, written and communication skills to implement workflows in a complex environment.

  • Sufficient color perception and physical coordination to perform TSA related duties.

  • Fluent in foreign language preferred.

Salary range: $55,000 to $60,000
